How to work a lead list without losing anyone
Most businesses have a list somewhere: leads from last month's ad, trial members who never came back, people who asked for prices and went quiet. Everyone agrees someone should call them. Nobody does, because the list is in a spreadsheet and the spreadsheet doesn't tell you who to call next.
Here is a simple way to work a list properly.
1. Start with the right people
Don't call everyone. Pick one group with one reason to call:
- New leads who haven't booked yet. The reason: answer their questions and offer a first visit.
- Booked but didn't show. The reason: rebook them while they still mean to come.
- Past customers who stopped coming. The reason: invite them back with something specific.
One group, one script, one goal per call. Mixing them is how calls go nowhere.
2. Call the freshest first, then the least touched
Two orders work well. Newest registered first, because fresh leads book more often. Or fewest touches first, so nobody gets five calls while someone else gets none.
In Keeplooped's Dialer you load a list from a pipeline stage, a saved segment or a search, and sort it either way: fewest or most touches, newest or oldest registered. A touch counts both calls and texts, so the numbers are honest.

3. One call at a time, and log it before the next
The biggest mistake is calling fast and logging later. Later never comes, and the list becomes useless. Log every call before you move on:
- Booked. Put them in the calendar while you're still on the phone.
- Call back. With a time they gave you.
- Not interested. And stop calling them.
- No answer. Which leads to step 4.
4. When they don't answer, text straight away
Most people don't pick up unknown numbers. But they read texts. The minute a call goes unanswered, send a short text from the same screen:
"Hi Sam, it's Jess from Harbor Fitness. Just tried you about your free class. Want me to save you a spot Thursday at 6pm? Reply and I'll book it."
A text sent while you're still on their record takes ten seconds. A text you mean to send later takes forever. Replies land in your inbox with the rest of the conversation, so whoever picks it up sees the call and the text together.
5. Respect the rules
Calling and texting people has rules, and they matter:
- Only text people who agreed to hear from you. Keeplooped checks consent before any text goes out.
- Honour STOP straight away.
- Keep to sensible hours in the lead's own time zone.
Ignoring these costs more than any lead is worth.
6. Review the list once a week
At the end of the week, look at three numbers: how many you reached, how many booked, and how many are still untouched. If untouched isn't shrinking, the list is too big for the time you have. Cut it to the freshest leads, or give the first call to an AI receptionist and keep people for the call-backs.
A lead list isn't an asset until it's worked. Call one group, log every call, text everyone who doesn't answer, and do it every week.
