Your front desk can't answer every call. Here's what can.

A new lead fills in your form at 6:15pm. Your front desk is checking in the evening class. By the time someone calls back the next morning, that person has booked a trial somewhere else.

It isn't laziness. A front desk can do one thing at a time, and the person standing in front of them always wins. The phone loses.

The two calls you keep missing

There are two kinds of calls a busy business loses:

  • Inbound calls nobody picks up. Someone rings during a rush, after hours or on a Sunday. Most people won't leave a voicemail. They call the next business on the list.
  • Outbound calls nobody makes. A lead comes in from an ad or your website and needs a call back. It sits on a list until the next quiet moment, and the quiet moment comes too late.

Speed matters more than anything else in that second case. A lead called within five minutes is far more likely to book than one called the next day, because they are still on their phone, still thinking about it, and haven't found someone else yet.

What an AI receptionist should actually do

An AI that answers your phone is only useful if it does the same job your best front desk person does. That means:

  • Answer with your name and your facts. Your services, prices, hours and the questions people really ask. Not a generic script.
  • Book the visit. If you have something open, it should offer a time and put it in your calendar, not just take a message.
  • Hand over when it should. Refund questions, complaints and anything unusual go to a person, with a note of what was said.
  • Call new leads back on its own. Within minutes of a form, and again later if nobody answers.

In Keeplooped this is the AI Employee. She answers calls and texts, books classes and appointments, takes messages when nothing is open, and passes anything tricky to your team.

Calling new leads back, with sensible retries

The outbound side works through a workflow. Add a "Call with AI Agent" step after a new lead arrives, and she calls them. If nobody picks up, she tries again on a schedule you can see and change. The default is straight away, then 40 minutes later, then three hours later, then the next day. Each retry is timed from when the last call ended, so nobody gets two calls back to back.

If they answer, she does what the lead came for: answers questions and books the trial or the consultation. If they book, the workflow stops. If they don't, the next steps in your workflow carry on, like a text with your booking link or a task for a person to call.

Teach her before you switch her on

An AI receptionist is only as good as what it knows. Before she answers anyone, check the readiness list on the AI Employee page:

  1. Opening hours. So she never offers a time you are closed.
  2. At least one service with a price. People ask "how much?" first.
  3. Business address and parking. The second most common question.
  4. A cancellation policy. So she can answer without guessing.
  5. Your website. She reads it and suggests answers to the questions people ask most.
  6. A test call. Ring her yourself, ask the awkward questions, and fix what she gets wrong.

When she meets a question she can't answer, it lands in a "to teach" list. Answer it once and she knows it next time.

What it doesn't replace

The goal isn't fewer people. It's that the people you have spend their time on the clients in front of them, while nobody who calls goes unanswered. Most owners keep the AI for the edges: after hours, during the rush, and the first call to every new lead. Everything that needs a human still reaches one.

Where to start

Pick one gap. If you lose calls after hours, switch her on for evenings and weekends first. If your problem is slow call-backs, start with the workflow step for new leads. Watch a week of calls, teach her what she missed, then widen it.

The businesses that grow fastest aren't the ones with the most leads. They're the ones that answer every one.
